Refund & Cancellation Policy

1. Overview & Service Context

At Node Prismbase, our consulting services involve dedicated allocation of senior engineering time, customized repository audits, and tailored architectural blueprint formulation. This Refund & Cancellation Policy clarifies the commercial terms governing project cancellations, deposit handling, and milestone refunds.

2. Milestone-Based Billing & Work Underway

Standard consulting engagements (such as our 4-Week DevOps Pipeline & Delivery Architecture Assessment or IaC Governance Sprints) operate under phased milestone contracts:

• Deposit / Phase 1 Retainer (30%): Covers initial discovery, repository topology mapping, and engineer stakeholder interviews. The deposit is fully refundable if written cancellation notice is received at least ten (10) business days prior to the scheduled kick-off date.
• Discovery & Analysis Phase: Once discovery workshops or repository code reviews have commenced, the initial deposit is deemed earned and non-refundable.
• Interim Milestones: Subsequent phase billings (e.g., Phase 2 Pipeline Profiling, Phase 3 Roadmap Blueprint) are invoiced upon milestone completion. If an engagement is terminated by mutual agreement mid-project, the Client is invoiced solely for completed phases and verified consulting hours delivered up to the termination date.

3. Workshop & Tabletop Drill Rescheduling

For single-day on-site workshops, incident simulation tabletop drills, or paired team training sessions:

• Rescheduling Notice (> 5 business days): Clients may reschedule sessions up to two (2) times without penalty by providing written notice at least five business days in advance.
• Late Cancellation (< 48 hours): Cancellations made within 48 hours of scheduled session start incur a 25% administrative preparation fee to cover pre-allocated consulting schedules.

4. Non-Refundable Items

The following categories are strictly non-refundable:

• Fully completed consulting milestones where deliverables have been formally handed over and presented.
• Custom cloud compute or ephemeral sandbox environment costs incurred on behalf of the client with prior written authorization.
• Bespoke advisory retainers for periods that have already elapsed.

5. Refund Request Process & Processing Times

To submit a formal cancellation or refund request:

1. Submit a formal written request via email to info@node-prismbase.click detailing the Statement of Work (SOW) reference number and grounds for cancellation.
2. Our engagement management team will review the hours logged and deliverable status within five (5) business days.
3. Approved refunds will be processed via original payment wire transfer / corporate bank remittance within ten (10) business days.
